Written by Deborah Knott | Nov 19, 2025 7:55:57 PM

In today’s increasingly digital world, the security and privacy of personal data has never been more important; especially for Condo/Strata and Rental clients who entrust Tribe Management with sensitive information. We recognize this responsibility and are deeply committed to upholding the highest standards of data protection for every Owner and Resident in the communities we work with.

By prioritizing robust security measures and transparent practices, we foster a culture of trust and confidence, which is a keystone to a healthy, sustainable community.

Here at Tribe Management, we prioritize the security of your digital home with the same care and commitment as we do your physical one.

“Protecting Owner and Resident data is at the heart of everything we do. From multifactor authentication to responsible AI, we build privacy and security into every layer of our systems to earn and keep your trust.”

- Allen Kwok, VP of Engineering

Multifactor Authentication (MFA) - Our First Line of Defense

Multifactor Authentication or MFA for short has become a standard practice throughout our lives, whether it’s accessing online banking, your e-mail account, or even the app to order your morning coffee.

What is Multifactor Authentication (MFA)?

MFA is a security protocol that requires users to provide two or more forms of verification before gaining access to an account or system. Verification can include steps such as e-mail authentication, codes sent to mobile devices, or biometric scans.

This practice plays a crucial role in defending against common cyber threats like phishing, use of stolen log-in information, and brute force attacks.

How Does Tribe Home Use Multifactor Authentication (MFA)?

At Tribe Management, MFA is a key component of our security strategy for both the communities we manage and internally. Instead of relying solely on passwords (which can be stolen or guessed at), we utilize multi-factor authentication to add an extra layer of protection. In doing so, the likelihood of unauthorized access is significantly reduced, even if a password is compromised.

To streamline the experience while maintaining security, Tribe Home may ask you to verify your sign-in with an email code. We only do this when something looks unusual—like a new device, a different place than usual, or other activity that doesn’t match your typical sign-ins. Most of the time, you can log in without extra steps.

Privacy by Design: How Tribe Management Protects Owner Information

At Tribe Management, protecting the privacy of our Condo, Strata, Rental clients is a guiding principle that shapes every aspect of our operations. We follow a “Privacy by Design” approach, meaning privacy and security are built into our systems, policies, and daily practices from the ground up. This proactive stance ensures your personal information receives the highest level of protection—now and into the future.

 - Privacy Policy and Legal Compliance

Our privacy policy clearly outlines how we collect, use, store, and protect your information. We strictly comply with all relevant privacy laws and regulations, such as Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and the provincial legislation in each area we provide service. This legal compliance provides peace of mind that your data is handled responsibly and in accordance with established standards.

- Transparency and Owner Control

We believe Strata and Condominium Owners should always know how their information is used. That’s why we communicate our privacy practices in plain language and provide accessible resources for Owners to review. You can access, update, or review the personal information we have in your file by reaching out through Tribe Home or contacting your Community Manager.

- Staff Training and a Culture of Privacy

Protecting your information is a shared responsibility. All Tribe Management staff receive continuous training on privacy best practices, security protocols, and ethical handling of personal data. We foster a culture where privacy is paramount, and every team member is empowered to safeguard Owner and Resident information.

We collect only the information necessary to manage your community effectively. Data is used solely for its intended purpose. By minimizing data collection and limiting its use, we reduce risk and strengthen your privacy.

In-House IT & Engineering: Dedicated Security Experts

Tribe Management’s in-house IT and Engineering teams are crucial for keeping Owner data safe. These experts monitor systems, fix problems fast, and understand the specific needs of our communities. Because they work directly for us, they can quickly adapt to new security threats and create solutions that fit our organization and the needs of our clients.

Our teams also work with outside specialists who undertake “Penetration Testing” on an ongoing basis. This type of testing simulates real attacks on our platforms to uncover potential vulnerabilities before criminals can. This allows us to proactively find and fix any weaknesses before they can be exploited.

Our in-house IT and Engineering teams work hand in hand with our leadership when considering new technologies for adoption, like responsible AI. This ensures our privacy and security efforts are interwoven from Day 1 with any technology we use to empower Condo and Strata Owners and our team members working alongside them.

Did you know that Tribe has an incident page to check for Tribe Home and Home Pro system outages and upcoming maintenance in real time? You can even subscribe to the page to receive email alerts when events occur.

Established AI Policies: Responsible and Secure Use of Technology

As a company at the forefront of tech-enabled Property Management, we understand that the use of Artificial Intelligence (AI) brings both opportunities and responsibilities. We encourage the use of AI by our teams to enhance efficiency, accuracy, and creativity.

We have established a clear AI policy that governs how data is handled to ensure it is secure and remains private. The policy is in place whether AI is used as an assistant or built into our Tribe Home platform.  All AI tools undergo rigorous review to ensure compliance before being used at Tribe Management.

Our AI policy is regularly reviewed and updated to reflect changes in technology, evolving best practices, and the latest legal requirements. This ongoing commitment means our use of AI remains transparent, secure, and always aligned with the highest standards of privacy protection.

Our Commitment to Your Data Security

At Tribe Management, we are unwavering in our commitment to safeguarding the personal data of Condo/Strata Owners, Condo Boards, and Strata Councils in the communities we serve. By implementing industry-leading security measures, embracing a proactive privacy culture, and ensuring responsible technology use, we strive to create a secure environment where your information is always protected.

Our goal is to foster trust and transparency, so you can feel confident that your digital home is as secure as your physical one.
